This PAIA Manual is prepared in terms of section 51 of the Promotion of Access to Information Act 2 of 2000 (PAIA), as amended, and read with the Protection of Personal Information Act 4 of 2013 (POPIA).

3. Records available without a PAIA request

  • Information published on our Website (including policies and product information).

  • General marketing information and publicly available business information provided by us on request where appropriate.

 

4. Categories of records held by the Company

The Company holds records in the following categories (subject to applicable retention periods and confidentiality):

  • Company and administrative records (registration documents, statutory records, policies).

  • Customer records (orders, invoices, delivery records, communications).

  • Supplier and service provider records.

  • Financial and accounting records.

  • Marketing records (subscriptions and preferences).

  • IT and security records (access logs and technical records).

  • Personnel records (if applicable).

 

5. Request procedure

  1. A requester must complete a prescribed PAIA request form and submit it to the Information Officer at the contact details above.

  2. The request must provide sufficient detail to enable the record to be identified and located.

  3. We may require proof of identity and, where applicable, proof of authority to act on behalf of another person.

  4. We will respond within the timeframes prescribed by PAIA, subject to extensions permitted by PAIA.

 

6. Grounds for refusal

Access to records may be refused on grounds set out in PAIA, including (without limitation) the protection of privacy, confidentiality, commercial information, legal privilege, and security of the Company’s systems.

 

7. Fees

PAIA provides for certain fees to be payable, including a request fee (in some circumstances) and an access fee for reproduction and search time, as prescribed.

 

We will advise you of any applicable fees before processing the request further, where required.

 

8. POPIA

Requests for access to personal information, correction or deletion of personal information may also be made under POPIA. Please refer to our Privacy Policy (POPIA) for more information.

 

9. Availability of this Manual

This Manual is available on the Website and can also be requested from the Information Officer.
